Summary Legal Secretary to the Partners - Corporate & Commercial Location: Leeds City Centre Salary: £26,000-£28,000 Are you an experienced Legal Secretary looking for an opportunity to progress? We currently have a fantastic opportunity working for an awarding winning full service law firm based in Leeds City Centre who are looking for a Legal Secretary to provide support to the Partners within the Corporate and Commercial teams. You will also supervise and coordinate the day to day activities of the Secretary team of 5. You will need to be confident and firm but still engaging. The existing team need someone to set the tone and bring them together as a unit, so the soft skills are just as important as the practical skills. This is a highly regarded post within the firm and it would be a great opportunity for you to make a mark in the business. Duties and Responsibilities: * To provide efficient and effective secretarial support to the Partner within the Corporate and Commerical Unit in order to ensure a first class legal service is provided to our clients. The role will encompass working across the Corporate, Commercial, Private Client and Employment departments * Provide quick and accurate audio and copy typing support through a digital dictation system (Bighand) and a variety of software packages such as Microsoft Word, Outlook and Excel * This will include accurately preparing and/or producing e-mails, letters, documents and presentations in draft formats, with relevant attachments ensuring that they are prepared in time to meet the required deadlines * Preparing the new client/matter opening forms to comply with the client due diligence process * Preparing marketing and business development information, assisting in relation to seminars and presentations, preparing mail shots and maintaining and updating lists of clients and contacts and preparing documents in relation to tenders and related submissions * Effective diary management, to include arranging meetings, conferences/seminars and various other appointments and to book meeting rooms and refreshments and any car parking requirements * Provide secretarial support in terms of arranging meetings e.g. documents, directions and travel arrangements some of which may be international travel * Produce bills and other relevant financial information, including fee breakdowns and estimates and reports on an appropriate basis and ensuring bills and financial matters are sent out in a timely manner * Dealing with basic client enquiries in the absence of or on behalf of lawyers (without providing anything that may be regarded as legal advice), taking and forwarding messages as appropriate * Proactively manage incoming correspondence, taking care that during the absence of lawyers anything of an urgent nature is seen immediately by another lawyer in the team/Unit; and * Maintain an accurate and up-to-date filing system ensuring that all documents are correctly filed to the corresponding client or marketing matter in both electronic and paper filing systems * Routine administrative tasks such as faxing, photocopying, scanning and daily post duties etc; * Adhering to the firms normal financial, managerial and procedural rules and policies such as Anti-Money Laundering, confidentiality, data protection and the Management of 'Key Dates' The Successful Candidate Will Have: * Proven IT skills, in particular experience of using digital dictation and a proficient user of Microsoft Office (in particular Word, Excel, Outlook and PowerPoint) and ideally an electronic document management system such as Net Docs * Excellent document management skills, to include use of track changes, automatic numbering and cross referencing, table of contents, scheduling * Proven organisational skills which will include organising meetings, diary management and workload prioritisation * Fast, accurate touch-typing speed (at least 60wpm) * An ability to work in a demanding environment, adhering to strict deadlines * Previous legal secretarial experience.
