Summary Main Tasks: Effective project administration to support CES' roles and responsibilities in community innovation projects underway in Orkney such as ReFLEX, Heat Smart Orkney, the BIG HIT project and SMILE. Provision of high-quality administrative support to the Orkney Project Managers, the Head of Innovation and CES' wider Project Teams. To ensure good regular and ongoing communications between team members working on the Orkney projects, scheduling meeting times and locations, taking meeting minutes, developing presentations, maintaining and updating task logs for work activity and arranging training for project staff. Provide support to Project Managers on setting up project procedures and processes for new projects, budget & claims administration, providing analysis, keeping records and project reviews. Careful project documentation according to CES' project approval and management system, including details of project and financial progress. Processing of project claims, invoices and financial reconciliation on individual projects. Support maintenance and reporting of CES staff timesheet records. To maintain good working relationships with key project partners and stakeholders in projects, working with them on invoicing, claims and task allocation. To work with CES' Head of Operations and Finance Officer to maintain accurate records and databases, and provide timely reporting for CES' portfolio of projects. Maintain project updates through website administration, CES' Member's Bulletin and use of social media on behalf of Community Energy Scotland. To represent Community Energy Scotland at public events when necessary. To play a full role in the development and operation of the team at Community Energy Scotland, and support the success of Community Energy Scotland as a whole. To undertake other tasks as agreed from time to time with line manager and CES senior management team.
